Job Description:

The job holder supports the Records Office mission below by carrying out the role of a Casual Library and Database Assistant.

KEY OUTCOMES:

  • Become familiar with the variety of personal files (records) in the Records Office.
  • Collect and return archive materials to and from storage.
  • To undertake basic digitisation and photocopying duties.
  • To be able to replace old files and contents within with new ones, label the new files and placing them in numerical order; and then place them in file magazines / folder.
  • To repackage documents to required standards and to handle archival material appropriately and advise users how to do the same.
  • To prepare the work area for caseworkers prior to opening and to close it down again at the end of the day.
  • To check, input, maintain and retrieve information to/from on to the spread sheet provided and ex-servicemen’s files.
  • To have an eye for details with excellent handwriting skills.
  • To assist with the database updating activities.
  • To undertake basic research enquiries under the supervision of more senior members of staff.
  • To participate in the identification of personal training and development needs and to make full use of all training and development

Required Knowledge, Skills, and Abilities:

  • Ideal candidate will display accurate, secure, legal and effective process and maintain over 38000 records (physical and electronic) of Ex-Gurkha community on Gurkha Pension Scheme in order to provide them with post retirement administrative and welfare services.
  • Should be able to produce standard work with minimum supervision within given time and should have understanding of the following:

Education + Experience:

1. Qualification & Training:

  • Proficient in MS Office especially on Word, Excel and Access.
  • Very good command of English. (Will be tested during sift & interview).
  • Knowledge of Health & Safety at work.

2. Experience:

  • Sound knowledge on data entry procedure.   Nepali typing would be an advantage.
