Job Description:

The Administrative Assistant will support the Management Team and fulfillment center Operations team. The candidate must be highly organized, extremely detail oriented, self-motivated, able to handle confidential information, as well as possess a demonstrated ability to respond effectively to changing workloads and priorities. Must have the ability to communicate well and to manage multiple assignments simultaneously.

Role & Responsibilities:

  • Coordinate closely with Workforce Management, Recruiting, Maintenance, Human Resources, and other teams.
  • Create and update expense reports, sales & Purchase reports and other basic reports  
  • Maintain schedules, events planning, coordinating meetings, and conferences for the Fulfillment Center Staff
  • Own and manage conference room coordination and room calendar management
  • Conduct clerical duties, including filing, responding to emails, preparing documents, record keeping and presentations using graphics, graphs, and internal information and platforms
  • Travel arrangements which include: airfare/hotel/ground transportation
  • Assist in internal communications among multiple platforms, interfaces, and programs
  • Work with outside vendors to coordinate upkeep, and maintenance of the Fulfillment Center
  • Run work-related errands as needed
  • Track and help drive completion of key deliverables and follow up on outstanding items.

Required Knowledge, Skills, and Abilities:

  • Proficiency with the Microsoft Office Suite (Excel, Word, Outlook, PowerPoint)
  • Excellent written & Verbal Communication Skills
  • Ability to learn and attention to details
  • Ability to work with a flexible schedule
  • Ability to prioritize and handle multiple assignments at any given time while maintaining commitment to deadlines
  • High level of integrity and discretion
  • Ability to create graphical presentation and reports would be preferable
  • Basic Accounting knowledge and Skills would be preferable

Education + Experience:

  • Bachelor’s Degree in Business Studies or Finance
