Job Description:

Swisscontact is the business-oriented independent foundation for international development cooperation. Represented in 36 countries with over 1100 employees, it promotes - since 1959 - economic, social, and environmental development. Government of Nepal (GoN) and Government of Switzerland have been implementing Nepal Vocational Qualifications System Project (NVQS-P) since 2015. The Swiss Agency for Development and Cooperation (SDC) is providing financial and technical assistance to the GoN (Council for Technical Education and Vocational Training (CTEVT)/Ministry of Education, Science and Technology (MoEST)) for the implementation of the project. Swisscontact Nepal has set up a technical assistance team- Project Support Unit (PSU) on behalf of SDC. For the second Phase of NVQS-P (subject to ratification of the bilateral agreement), we invite applications from committed and experienced Nepali citizens for the following position to be filled.

Position : Administration Assistant / Receptionist

Location: NVQS PSU Office, CTEVT Complex, Sanothimi, Bhaktapur,

Nepal Reports to: Administration Officer

Duration: One year with possibility of extension

Purpose of the Job

The Administration Assistant / Receptionist (AA) is responsible to act as the first point of contact for visitors and callers to Alert and to undertake a range of other administrative tasks as identified by the Administration Officer.

Essential Functions and Responsibilities

  • Provide Front desk reception duties for the office which includes handling of all phone calls and manage internal & external customers timely and professionally.
  • Attend to visitors/business associates to respond to their queries
  • Manage EPABX system, attend external phone calls/FAX
  • Receive and record all incoming correspondence/invoices
  • Dispatch all forms of external correspondence
  • Assist in soliciting quotations and procuring office supplies and fixed assets
  • Make hotel, travel, visa arrangements for staff
  • Maintain a filing system of all relevant documents and records
  • Manage supplies store
  • Supervise office support staff and manage vehicle movements
  • Manage petty cash and store supplies
  • Adhere to any other duties requested by the supervisor

Required Knowledge, Skills, and Abilities:

Qualification, Experience and Competencies :

The individual must conform to the following qualifications and expertise:

  • Advanced communication skill in both English and Nepali (verbal and written)
  • Excellent interpersonal and organisational skills
  • Professional attitude and appearance ▪ Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Ability to keep sensitive information confidential.
  • Competent IT skills, including experience of Word, Excel, Access, and PowerPoint.

Working Conditions and Environment

  • This will be applicable in accordance with the Swisscontact Staff Manual.

Education + Experience:

  • Bachelor’s degree in business administration or equivalent.
  • Minimum of two years of work experience in similar position, preferably in the development cooperation field with donor agencies, international and national NGOs
