Job Description:

Objective:  

The position holds responsibilities of overall Administration, Finance, and Accounting along with Administration and Logistic management for smooth functioning of CBM Nepal Country Office in compliance with statutory requirements and CBM Global practices.

Duties & Responsibilities

Finance & Accounting 

  • Prepare vouchers; ensure filling of CBM forms & formats, proper budget coding and generating payment vouchers, cheque writing and banking transactions.
  • Timely payments to vendors, staff and settlement of advance, liabilities and receivables etc. and reconcile periodically.
  • Ensure petty cash is managed and replenished according to established petty cash level.
  • Maintain & safely keep back up data and finance related documents. Maintain proper documentation.
  • Regular tracking of bank balance and ensure timely fund transfer.
  • Monthly Bank Reconciliations is prepared and reconciled.
  • Ensure donor compliances in project implementation
  • Monthly Project BVA is prepared and provided to FAM. Required financial information is provided to all budget holders.
  • Conduct routine voucher verification and/or finance Monitoring at partners as required
  • Provide on-the-spot coaching session and orientation to Partner and staff as required
  • Arrange for fund transfer to partners following procedures as per CBM Guidelines 
  • Ensure timely payment of Tax, ETDS and update on monthly basis
  • Analyzes and manage all requirements and provisions of contracts, to ensure compliance with organisation regulations, policies and procedures and develop standard set of contracts.
  • To work on cost saving where ever possible and work together with the team for all other potential cost saving measures
  • Provide support in the process of external and statutory audits

Administration

  • Supervise and coach the work of Office Assistant (OA). Ensure that the work of Support Staff is properly managed.
  • Ensure that the logistic supports are provided efficiently.
  • Ensure that proper store management is being done and office assets are adequately safeguarded. 
  • Support OA on bi- annual physical verification.
  • Ensure installation, maintenance and repairs of the office equipment along with IT support and liason with Asia Regional Hub IT.
  • Supervise and schedule regular maintenance of the printer, server, equipments costs follow-up and administration.
  • Ensure vehicles are timely and well maintained. Best bargain for repair & maintenance is obtained. Proper management of vehicles to the request made.
  • Ensure that vehicle log books are updated and responsible for preparation of Vehicle Running Costs
  • Support and monitor supply chain management in regards of day to day procurement, Store and assets management ensuring the supply chain compliance.
  • Support in the logistics management for training, workshops, and monitoring visits for national and international events.

Required Knowledge, Skills, and Abilities:

  • At least 5 years of progressive experience in finance, accounting or audit in an I/NGO or business organization.
  • At least 3 year of progressive experience in office administration 
  • Good knowledge and experience of using accounting packages

Education + Experience:

  • University degree in Management or business studies with specialization in finance
