Job Description:

Purpose of the Role

To ensure a smooth running of CEO/ Operations Director’s Office

  • Working hours: 11am - 7pm

Key Duties

  • Manage the daily/weekly/monthly agenda and arrange new meetings and appointments
  • Prepare and disseminate correspondence, memos
  • Support and facilitate the completion of reports
  • Create and maintain filing and other office systems
  • Make travel arrangements
  • Maintain appointment schedule
  • Follow governance calendar and organize meeting accordingly
  • Liaise with staff in other departments and with external contacts
  • Draft agenda, minutes of the meeting, coordinate with the entire department and follow up on action points from meetings
  • Make necessary arrangements for welcoming the VIP guests
  • Manage emails accounts and Communicate via emails on behalf of the Line manager
  • Assisting executives with project tasks.
  • Maintain and Manage Google Central Drive for TBC
  • Manage communications and Coordinate various sister organization projects on behalf of the Management
  • Maintain a record of Letter Head

Required Knowledge, Skills, and Abilities:

  • Great verbal and written communication skills
  • Learning attitude and leadership skills
  • Pressure handling and Interpersonal skills
  • Ability to multitask and prioritize tasks.
  • Attention to detail.
  • Time management skills

Education + Experience:

  • At least 2 years secretariat management or any relevant experience
